TRAVEL INSURANCE
Every other student must provide evidence of holding a valid health and travel insurance policy with comprehensive coverage in the host country for the duration of the course in which the students will be involved. Visiting students are obliged to carry adequate medical health and travel insurance covering the entire stay. This insurance will include coverage for repatriation of remains.

Cancellation policy

For programmes receiving Erasmus+ funding, in case the programme is cancelled or postponed due to the force majeure, ECA will offer a place in another programme in the following years. No administration fee is charged. No refunds are possible.

General cases
If the course has to be cancelled, then the European Cultural Academy (MBN Culture B.V.) will refund participants 100% of the tuition fee only. ECA might offer a place in another programme in the following years as an alternative. Other than refunding your course fee, the Academy accepts no liability for expenses or losses you or any third party may incur as a result of a programme's cancellation.

Refund policy
Cancellations by students up to 4 weeks in advance of the start date of the course will be eligible for 100% refund of the tuition fee. Unfortunately, we cannot offer you a refund if you cancel less than 4 weeks before the start date of the course.
A grace period of 14 days is applicable for all individuals when paying the Registration fee of €350. If the European Cultural Academy (MBN Culture B.V.) does not receive the outstanding amount for the tuition and if applicable, accommodation, 4 weeks before the start date of the course , the student is not guaranteed the place in the course or accommodation. In case the outstanding amount was not paid 4 weeks before the start date of the course the European Cultural Academy has the right to cancel student's participation and accommodation.
Should a student miss a session, it is not possible to replace it with a future session on another course.
While special rates or discounts cannot be combined, we are pleased to offer the best rate for which you are eligible.

Delivery conditions
The European Cultural Academy will provide classes according to the programme and organise visits to relevant venues such as museums and exhibition spaces. We will use our best endeavours to deliver the programme as it is planned. In exceptional circumstances, we may consider it appropriate to cancel or significantly change the programme. We will endeavour to resolve any issues, concerns or complaints which you bring to our attention as efficiently and thoroughly, as is possible in the circumstances. If a course does not reach the minimum number of students expected, European Cultural Academy reserves the right to change the course dates.

Complaints procedure
Students (including upcoming and former students) are to lodge their complaint in writing with the ECA team member Alexandra Laqueur at study@eca.art. Complaints are always treated confidentially. In principle, a complaint is to be submitted within 5 days after the action that is the subject of the complaint occurred. The ECA is not held to consider a complaint submitted after this term and will do so in extraordinary cases only. The complaint is reviewed within 40 days after official submission by a complaints committee. If there is a longer period of time needed to constitute research, the parties will be notified within 20 days with the delay explained and the indication given when it is expected to have the definitive answer. The committee comes to a decision on dealing with the complaint. A complaint should always concern a particular action. Both an 'act' and an 'omission' can constitute an action. For the entire complaints procedure, the English language prevails. Should you disagree with how the complaint is dealt with, you may lodge a complaint with the independent third party that both sides agree on depending on the case. Complaints are registered and documented. The records are kept for a period of 1 year. If the parties do not reach the agreement, the complaint will be transferred to an independent party, in this case to the Mediationhuis in Amsterdam. The appeal's body verdict is binding for the Academy; the Academy is to take any measures required and to do so promptly.
